Refund & Cancellation Policy

We understand that plans can change. This policy explains how refund and credit requests are handled for eligible GirlPower Carolinas programs and registrations.

Effective Date: October 7, 2026

1. When a Request Is Considered Submitted

The timing of a refund or cancellation request is based on the date and time the request is received by GirlPower Carolinas.

Refund eligibility is determined based on both the original purchase date and the scheduled start date of the applicable program.

2. Requests Within 72 Hours of Purchase

A 100% refund may be provided when a refund request is submitted within 72 hours of the original purchase, provided the request is also made at least 48 hours before the scheduled beginning of the applicable league, clinic, camp, class or event.

If the program begins within 48 hours, the standard cancellation rules below apply even if the registration was purchased less than 72 hours earlier.

3. After 72 Hours of Purchase

After the first 72 hours following purchase, eligible cancellation requests are generally handled as GirlPower Carolinas site credit rather than a cash refund.

Registrations are no longer eligible for refund or site credit within 48 hours of the scheduled program start.

4. GirlPower Carolinas Site Credit

Approved site credit may generally be applied toward an available future GirlPower Carolinas league, clinic, camp, class, training opportunity or other eligible GirlPower Carolinas program.

Site credit is subject to program availability, capacity and applicable registration requirements.

Site credit may not be applied toward independently operated third-party events, services or purchases unless GirlPower Carolinas specifically states otherwise.

5. Team, Division or Group Placement

A participant is not automatically entitled to a refund or credit because she was not placed on a preferred team, division, clinic group, practice group or other requested placement.

Team and group assignments may depend on enrollment, age, competitive level, roster needs, coaching availability and other program considerations.

6. Participant Withdrawal

GirlPower Carolinas program pricing and staffing decisions are based in part on anticipated enrollment.

Participants who withdraw, stop attending or are removed after registration are not automatically entitled to a refund or credit outside the schedule described in this policy.

GirlPower Carolinas may consider exceptional circumstances on an individual basis where appropriate.

7. Injury

We understand that injuries happen.

Families of an injured participant should contact GirlPower Carolinas as soon as reasonably possible.

Depending on the timing and circumstances, GirlPower Carolinas may consider rolling eligible credit forward toward a future program or season.

Injury-related credits are reviewed individually and are not guaranteed.

8. Weather, Facility Issues and Rescheduled Programs

Youth sports schedules may be affected by weather, field conditions, facility availability and other circumstances outside the reasonable control of GirlPower Carolinas.

When a program or event is postponed, GirlPower Carolinas will make reasonable efforts to reschedule the affected programming.

If a program that has not yet begun has its start date delayed by eight weeks or more and a participant can no longer attend because of the postponement, GirlPower Carolinas may provide site credit for the affected registration.

Once a program is in progress, postponements caused by circumstances outside the reasonable control of GirlPower Carolinas do not automatically result in refunds or credits. We will make reasonable efforts to reschedule remaining programming where possible.

9. Programs Canceled by GirlPower Carolinas

If GirlPower Carolinas cancels an entire program before it begins and does not provide a reasonable replacement or rescheduled opportunity, affected families will receive information directly regarding the refund or credit options available for that program.

10. PRIME, Tournaments and Special Events

Competitive programs, GirlPower Carolinas PRIME, tournaments and special events may involve nonrefundable expenses such as tournament entry fees, uniforms, travel arrangements, facility costs or other commitments made on behalf of participants.

Where a registration has separate event-specific refund terms, those terms will control for that particular event.

Families should review any event-specific registration terms before completing registration.

11. Third-Party Fees

GirlPower Carolinas is not responsible for refunding expenses paid directly to independent third parties, including travel, lodging, tournament providers, ticket providers or other outside vendors.

Those purchases are subject to the applicable third party's refund and cancellation policies.

12. Review and Processing Time

Cancellation and refund requests are generally reviewed within 5–10 days after the request is received.

Once a refund or credit decision has been made, approved refunds or credits are generally processed within 5–10 business days.

Financial institutions and payment processors may require additional time before a refund appears on an account.

13. Program-Specific Terms

This policy provides the general GirlPower Carolinas refund and cancellation framework.

A specific league, tournament, PRIME event, clinic, camp or other program may include additional registration terms. When clearly disclosed event-specific terms differ from this general policy, the applicable event-specific terms will control for that registration.
